Grant temporary access to Salesforce

Grant temporary Salesforce access to Drivetrain for troubleshooting.

In rare cases—such as data inconsistencies, unexpected sync behavior, or bugs—your Drivetrain onboarding or support team may ask you to grant temporary access to your Salesforce account. This lets us investigate issues directly in your environment, using a read-only user that you control.

Overview

This guide walks you through how to:

  1. Create a read-only profile in Salesforce

  2. Set the right API and object-level permissions

  3. Create a dedicated user account with that profile

  4. Revoke access after troubleshooting is complete

All access granted via this method is read-only and temporary. You can remove the user at any time.

Step 1: Create a Read-Only Profile

  1. Log in to Salesforce with an admin account

  2. Go to Setup

  3. In the left menu, navigate to Users → Profiles

  4. Click New Profile

  5. Use Read Only as the base profile

  6. Name the profile Drivetrain Integration

  7. Click Save

Step 2: Set API and Object Permissions

  1. Open the new profile and click Edit

  2. Under Administrative Permissions, enable:

    1. API Enabled

    2. API Only User

  3. Scroll down to Standard Object Permissions and grant Read access to:

    1. Opportunities

    2. Opportunity History

    3. Opportunity Field History

    4. Accounts

    5. Leads

    6. Users

  4. Add read access to any relevant custom objects (Optional)

  5. Click Save

Step 3: Create a Temporary User

  1. In Setup, go to Users → Users

  2. Click New User

  3. Set the following:

    1. Email address: Use the one shared by your Drivetrain CSM (typically dp-[yourcompany]@drivetrain.ai)

    2. Profile: Select the read-only profile you created

  4. Click Save

The user will receive login credentials via email, which will be used by the Drivetrain team to investigate the issue.

Step 4: Notify Drivetrain

After the user is created, notify your Drivetrain CSM. A team member will log in and proceed with troubleshooting.

Step 5: Revoke Access (Optional)

After the issue is resolved:

  1. Return to Manage Users in Salesforce

  2. Find the user account you created

  3. Click Delete or Remove Access

This access method grants Drivetrain temporary, read-only visibility into your Salesforce data. You retain full control and can revoke access at any time. No write or administrative permissions are granted at any stage.
